Candidate rejection is part of every recruitment process. When you track why candidates are rejected, those decisions become useful data. Happlicant lets you record structured rejection reasons and see the results in your job reports.
See which reasons are causing candidates to drop out. You might find patterns around skills, salary, location, availability, or client expectations.
This gives you useful evidence when speaking with clients. Instead of simply saying a search is proving difficult, you can show what is actually happening and use the data to discuss the role, salary, requirements or hiring process.
Rejection reasons are fully customisable and split into two lists: candidates rejected by your team or client, and candidates who withdraw or decline.
Rejected candidates remain attached to the stage where they were rejected and appear in a collapsible layer below the active pipeline. Their rejection reason stays visible, so you keep the full history without cluttering your pipeline.
You can also reject candidates in bulk using the same rejection dialog.
With rejection reasons feeding into your job reports, you can move from “Why aren’t we finding the right candidates?” to “Here’s what the data is telling us about this search.”

Why should recruitment agencies track rejection reasons?

Can I customise my rejection reasons?
Yes. Go to Settings → Rejection Reasons to add, rename, reorder or remove reasons. Reasons are grouped into two lists: rejections by your team or client, and rejections by the candidate.
What happens if I reject a candidate without selecting a reason?
Rejection reasons are optional. If no reason is selected, the candidate will appear as “No reason recorded” in the job report.
Can I add additional context to a rejection?
Yes. The rejection dialog lets you select a structured reason and add an optional note. You can also control whether the rejection email is sent.
Can I use rejection data when reporting to clients?
Yes. Rejection data can help you explain what is happening in a search and give clients clearer insight into candidate quality, requirements, salary expectations, location and other factors affecting the pipeline.
Rejection reasons: How-to guide
Set up your rejection reasons
Go to Settings → Rejection Reasons and add the reasons you want your team to use. You can rename, reorder and remove reasons to match your recruitment process.


Open a job and go to Reports
Go to Jobs, open the job you want to analyse and select the Reports tab. Your job report includes a breakdown of rejection reasons alongside your other pipeline data.
Record the reason when rejecting
When you reject a candidate, select a rejection reason and add an optional note for additional context. You can also choose whether to send the rejection email.
Review your rejection data
Return to the job’s Reports tab to see how rejection reasons are distributed. Look for patterns that could explain where candidates are being lost.
Use the data with your client
Use the insights from your job report to have more informed conversations with your client. Show where candidates are being rejected and use the data to discuss what may need to change.
